Enhancing Financial Management with Dynamics 365 Business Central

Dynamics 365 Business Central handles the financial management work that eats up an SME’s week: posting to the general ledger, forecasting cash, reconciling bank accounts, producing management reports, and trading in multiple currencies. For Spanish companies it adds something most global ERPs don’t include out of the box: a localization that already speaks SII and is preparing finance teams for VeriFactu.

This guide walks through the six areas where Business Central financial management makes the biggest practical difference. We’ll use real feature names and menu paths throughout, so you can test everything in a free trial environment before committing to anything.

General Ledger and Dimensions: The Core of Financial Management

The general ledger in Business Central is built around a deliberately short chart of accounts plus dimensions, which are tags you attach to every transaction. Instead of creating separate expense accounts for each department (6290-Marketing, 6291-Sales, 6292-Logistics), you keep one account and tag each posting with a DEPARTMENT dimension value.

You get two global dimensions that appear on every ledger entry and can be filtered anywhere, plus up to six additional shortcut dimensions for journals and document lines. Search for “Dimensions” using the Tell Me search (Alt+Q) to set them up. Common combinations for Spanish SMEs are Department and Project, or Business Line and Region.

Imagine a Málaga-based distributor with three product lines and two warehouses. With dimensions, one profit and loss report can be sliced by line, by warehouse, or both, without a single extra G/L account. That financial management structure also survives growth: adding a fourth product line means adding one dimension value, not twenty accounts.

Can Business Central Forecast Your Cash Flow?

Yes, and it does it from data you already have. The Cash Flow Forecast feature pulls open customer invoices (receivables), open vendor invoices (payables), planned G/L budgets, recurring service contracts, and expected tax payments into a single projection. You decide which sources to include on the Cash Flow Setup page.

There’s also an AI-assisted option. Business Central includes an Azure AI powered Cash Flow Analysis that adjusts the forecast based on historical payment behaviour, which matters in Spain, where the gap between invoice due dates and actual payment dates is a familiar headache. The forecast chart sits directly on the Accountant role centre, so you don’t have to run a report to see the next 90 days.

In our experience, the biggest win isn’t precision. It’s that the forecast updates itself every time an invoice is posted, so financial management stops depending on a separate cash spreadsheet that’s outdated by Wednesday.

Bank Reconciliation Without the Month-End Slog

Bank reconciliation, the least loved financial management chore, starts with importing your statement, either through a connected bank feed or by uploading a file. Spanish banks typically export the AEB Norma 43 format or camt.053, and both can be mapped once and reused every month.

From there, the Bank Acc. Reconciliation page auto-matches statement lines against bank ledger entries using amount, date, and text rules. Since the Copilot wave of releases, you can also use Reconcile with Copilot, which proposes matches for the leftover lines and even suggests G/L accounts for recurring items like bank fees. You review and confirm; nothing posts without your approval.

A related feature, the Payment Reconciliation Journal, applies incoming payments to open customer invoices in bulk. For a company receiving fifty transfers a week, that’s the difference between an afternoon of clicking and about twenty minutes of review.

Financial Reporting That Doesn’t Live in a Spreadsheet

Built-in Financial Reports (formerly called Account Schedules) let you define reusable row and column layouts: profit and loss by month, balance sheet by dimension, actual versus budget with variance columns. Once defined, they run on live data, export to Excel with one click, and can be scheduled.

For anything beyond standard statements, Business Central ships with connected Power BI reports for finance, covering income statements, balance sheets, and liquidity trends out of the box. If your management team wants dashboards across ERP, CRM, and Excel sources, that’s where a proper semantic model pays off; our Power BI services team spends most of its time exactly there.

One practical tip: build your financial management reports around dimensions from day one. A P&L by department costs nothing extra to produce if every posting already carries the department tag.

How Does Business Central Handle Multi-Currency Trade?

Multi-currency is native, not an add-on. You assign a currency to any customer, vendor, or bank account, and Business Central keeps amounts in both the transaction currency and your local currency (EUR for Spanish companies). Exchange rates can be updated automatically from a rate service.

The Adjust Exchange Rates batch job revalues open receivables, payables, and bank balances at period end and posts unrealised gains or losses to the accounts you define. That’s the piece most spreadsheet-based financial management processes quietly skip, and the one auditors ask about first.

For a Valencia manufacturer selling to the UK and buying components in USD, this means invoices go out in GBP, purchase orders post in USD, and the books stay clean in EUR, with currency exposure visible at any moment. Groups with subsidiaries abroad can go further with consolidation and intercompany postings, both included in the standard product.

Is Business Central Ready for SII and VeriFactu in Spain?

The Spanish localization is one of Business Central’s strongest, and Microsoft documents it in detail in the official Spain local functionality docs. The SII module has been built in for years: it generates the XML ledgers for issued and received invoices and submits them to the AEAT within the four-day window that applies to large companies, REDEME members, and VAT groups.

VeriFactu is the bigger topic for most SMEs in 2026. Under Royal Decree 1007/2023, invoicing software must produce tamper-evident, hash-chained invoice records with a QR code, with the option of sending records to the tax agency in real time. Under the current calendar, obligations began in January 2026 for corporate income tax payers, with self-employed workers following in July 2026. Check the AEAT’s VeriFactu page for the latest official position, as deadlines have shifted before.

Microsoft has been rolling VeriFactu capabilities into the Spanish localization as part of its e-documents framework, so companies on the cloud version receive compliance updates through the standard release waves rather than paid upgrades, keeping financial management and tax compliance in one system. If you automate the surrounding approval and filing steps, this pairs well with the approach we describe in our post on automating compliance and reporting with Power Automate.

Frequently Asked Questions

Does Business Central work for a small finance team of two or three people?

Yes, and that’s arguably its sweet spot. Small teams benefit most from the financial management automation: auto-matched bank reconciliation, payment journals that apply themselves, and reports that run on live data. Licensing is per user, so a three-person finance team pays for three Essentials licences, roughly €75 to €85 per user per month as of 2026, approximately.

Can we keep our current chart of accounts when moving to Business Central?

You can import an existing chart of accounts, and Spanish implementations usually start from the Plan General Contable structure. That said, migration is the right moment to simplify. Most companies we see carry years of duplicate and dead accounts. Trimming those and moving the detail into dimensions produces faster closes and much cleaner reporting.

Is the SII functionality an extra paid module?

No. SII support is part of the standard Spanish localization of Business Central at no additional licence cost. You configure certificates and endpoints once, and submissions run from within the system. What does take effort is data quality: the AEAT rejects entries with inconsistent VAT registration numbers or document types, so setup and testing matter.

How is multi-company handled if we have two Spanish entities?

Each legal entity lives as a separate company inside the same Business Central environment, each with its own ledger, VAT setup, and SII submissions. Intercompany functionality automates cross-charging between them, and consolidation combines their results for group reporting. Switching between companies takes two clicks, and users can be licensed once across all of them.
